CHANGES FEES & PAYMENTS

Fees: 

  • $64.00 per child per day – centre-based day
  • $89.50 per child per day – excursion days
  • NDIS - $22.35-29.75 per child, per hour (as per aligning line items)

The Geelong YMCA is a Commonwealth approved childcare provider.
The program is subsidized through the Childcare Benefit Scheme (CCB). Daily fees can be reduced by applying Child Care Benefits, please see the ready reckoner link below to assist you to estimate your fees.

CHILD CARE BENEFITS AND CHILD CARE REBATE

Families who qualify for CCB will have completed an Eligibility Test with the Family Assistance Office (FAO). FAO determine whether or not a family is entitled to these benefits based on their family income. If families are not sure whether they qualify they are recommended to seek advice from the FAO. They can be contacted on 136 150. It is important that families gather this information prior to commencing use of a child care program such as the School Holiday Program. Family Assistance are required to be informed that a child is enrolled in a child care program. Some families may experience issues with calculating their Child Care Benefits if they neglect to do this.

It is highly important that families provide the relevant information to YMCA School Holiday Program in order for fees to be properly calculated. We require all children BIRTH DATES and CUSTOMER REFERENCE NUMBERS (CRN's). We also require the BIRTH DATE AND CRN of the parent who is linked to the child/ren in order for them to receive their Child Care Benefit or Child Care Rebate.
If a family is eligible for JET payments they must provide a copy of the letter stating such to YMCA Geelong Vacation Care.

Please note that YMCA School Holiday Program does NOT calculate family fees. We provide the Child Care Management System (CCMS) with information of attendance, absences, birth dates & CRN's and our fees in order the information to be submitted and calculated through CCMS. The information then feeds back to YMCA School Holiday Program and we can then produce invoices to be distributed.
It is the responsibility of the family to ensure that their CCB registration details are correct, not Centrelink or the YMCA. Failure to do this will result in the family being charged the full fee for each day attended.

CHILD CARE BENEFIT READY RECKONER

Use the fees outlined on the program brochures and the number of days you are selecting to book and apply these to the ready reckoner and fee calculator below:

PAYMENT OF FEES

All families will be required to submit a Direct Debit Form (see further down).
Families will receive an invoice/statement as confirmation of tentative booking prior to each program. This will detail the service fees as well as list an estimate for any CCB, CCR or JET reductions to those fees.
Please note that invoices/statements generated prior to each program are estimates based on your eligibility for Child Care Benefits & Child Care Rebate. An invoice/statement with calculated fees can only be produced after attendances have been submitted after the program has concluded.
Families may notice that there are slight differences between the estimated fees and the calculated fees. This is not in the control of YMCA Geelong and information is calculated based on each individual family’s CCB. The Child Care Management System cannot always produce an accurate figure until after the program and once the attendances have been logged. Any outstanding fees should be paid promptly.
If a credit remains families can choose to leave the credit until next using the program, transfer the credit to other YMCA program fees, or request a refund by submitting in writing individual bank information.

DIRECT DEBIT

All families as of 2016 will be required to provide a Direct Debit form as per the links below for access to YMCA Geelong’s School Holiday Program.
Please note that these debit forms have a different code to those used for gymnastics programs at the YMCA.
Families will receive communication in relation to debit dates prior to debits occurring.

SUPPORTING DOCUMENTATION


MEDICAL FORMS

INCLUSION SUBSIDY SUPPORT FORMS

ISS forms must be completed for any child with a diagnosis of having an additional need (eg. ADHD, Asperger’s, Autism, etc.). The Health Care information form must be completed by a medical professional (GP, Psychologist, Pediatrician, etc.)
The remaining two forms are to be completed by the family.
Children with additional needs will not have a confirmed booking until all three forms have been submitted (minimum 3 weeks prior to program)

ISS forms must be completed for ANY child with a diagnosis of having an additional need (eg. ADHD, Asperger’s, Autism, etc.).
The two forms here must be completed and submitted with all registration/booking documentation and are to be completed by the parent/guardian of the child/ren.
ALSO REQUIRED
*A supporting letter from an Allied Health Professional, stating that the child is either undergoing an assessment, or has a diagnosis

BEHAVIOUR MANAGEMENT PLAN

To assist YMCA School Holiday Program staff to better care for your child we require as much information as possible.
If your child has an existing Behaviour Management Plan in place at school please ensure you provide a copy of this when submitting your registration & booking forms.
If your child has a history of behavioural concerns but doesn’t have a plan in place please ensure you consider completing the Behaviour Management Template as per the link below.
This does not impede your child’s chances of participation, it betters our ability to care for your child.

WHAT YOU NEED TO KNOW

Monday-Friday 7:30AM – 6:00PM
School Holiday Program operates during all Victorian school holidays. Not open for School Holiday Program on Public Holidays.

SIGNING IN/OUT

All children must be SIGNED IN upon arrival at the centre. Children must be signed in by 9:00am.
Sign in sheets are grouped as:

  • JUNIOR – Grades Prep/1
  • INTERMEDIATE - Grades 2/3
  • SENIOR - Grades 4/5
  • GRADE 6 & OVER – (as is)
  • CAMP EXCURSION – all children booked for day trips to Camp Wyuna

There are 5 separate attendance sheets as per grouping. Parents must sign in each child in their relevant grade groups.
ALSO, on days where there are excursions planned, there will be a "Permission to Attend Excursion Form" which will be situated next to the sign in/out sheets.
Please ensure that when signing in your child/ren, you also complete this form. Failure to do so may mean that your child/ren will not be able to attend the excursion for that particular day.

Children are generally only grouped by age when marking attendances, when going on excursion or if specialised coaches/instructors visit the YMCA to deliver activities.
Children, at all times, have CHOICES and may choose to participate in the activities they like. This may mean interacting with different age groups throughout the day.
If, when being grouped for special activities, children wish to go in a different group , they need only communicate this to staff.

Our daily activities include both excursions and centre-based activities.
A wide variety of indoor and outdoor activities are provided for the children, and these range from sports and games, to art and craft, healthy eating, team sports, gymnastics, large and small group activities, children’s video’s, drama and music activities and much more.

All children booked in on days of excursions will be expected to attend however participation is not compulsory. Families will, however, still be charged the excursion day fee.
We encourage parents, guardians and children to be involved in the planning of these programs to ensure that their child/ren’s needs are being met. This can include cultural diversity, general interests or seasonal-relevant activities.

Program information for each school holidays will be available from reception, most schools in the Geelong area as well as on the website. Information is also sent directly to those registered for the calendar year via email and post, and to those who request to be on the mailing list for future programs.

 WHAT TO BRING

All children are required to have

  • Snack for the morning
  • Lunch
  • Snack for the afternoon
  • Refillable drink bottle
  • Appropriate footwear
  • Warm clothes (cold weather)
  • Change of clothes
  • Hat (broad-brimmed or legionnaires)

 

TRANSPORTATION

On days where families book to attend Newtown/Camp activities, children will be transported by a 25 seat bus, driven by a qualified YMCA staff member.
On days where other program excursions are scheduled, children will be transported by a McHarry’s coach bus.

LUNCH ORDER THURSDAYS

YMCA Geelong School Holiday Program offers Lunch Order Thursdays. Our nearby cafe, Workers Gourmet, will supply staff and children with tasty food each Thursday of the Vacation Care program.
Please ensure that your child’s name and order are written on an envelope, inside of which should be the correct amount of money required for their lunch order.
YMCA staff will deliver these lunch orders to Workers Gourmet each Thursday morning immediately after marking the roll, and will collect them at lunch time – at approximately 1:00pm.
Please note: All children must still be supplied with snacks for morning and afternoon as well as a refillable drink bottle.
